Donation & refund policy
How donations are processed, allocated, receipted and — in specific circumstances — refunded.
Last updated: 8 August 2026
Processing
Donations are processed by Stripe (card) or PayPal. Ruby Heart Foundation does not store card numbers at any point.
A receipt is emailed immediately on successful payment. If it has not arrived within a few minutes, check your spam folder and then contact donations@rhfi.org.
Allocation
Donations designated to a specific program or organisation are applied to that designation. Donations to "where needed most" are allocated to the program with the largest unfunded gap at the time of allocation.
Where a designated program is already fully funded, we will contact you before reallocating your gift.
Fees
You may choose to add an amount covering payment processing so that the full value of your intended gift reaches the cause. This is optional and is shown clearly before you pay.
For payroll giving we take an administration fee of 3%, capped at $10 per pay period. For RHF Charity Account top-ups the rate is tiered from 3% down to 1%. No other deductions are made.
Refunds
A donation is a gift and is not generally refundable. We will, however, refund in full where the donation was made in error (for example a duplicate transaction or an incorrect amount) and you contact us within 30 days, or where the payment was unauthorised.
Requests should go to donations@rhfi.org with your donation reference. Approved refunds are returned to the original payment method within ten working days.
Recurring gifts
You may pause, change or cancel a recurring gift at any time from your account or by contacting us. Cancellation takes effect before the next scheduled payment; payments already taken are not automatically refunded.
Tax
Ruby Heart Foundation is a 501(c)(3) charitable organisation. Donations are tax-deductible to the extent allowed by law. Your emailed receipt is your record; account holders also receive an annual consolidated statement.
